Effective October 10, 2026. This policy explains what the Bamwan app collects, why, who can see it, how long we keep it, and how to delete it. “We” means Bamwan Health Care Services, 93 Victoria Street West, Alliston, Ontario L9R 0N8.

Who the app is for

The Bamwan app is used by Bamwan’s office, Bamwan’s Care Pros (nurses, PSWs, caregivers and drivers), the families of people we care for, and the care facilities we staff. Only people the Bamwan office has added can sign in.

What we collect

  • Your account: your name, email, phone number and the kind of account you have. Your password is handled by our sign-in provider; we never see it.
  • People we care for: name, address, age, the care plan (the tasks we help with), care notes, languages, and family or facility contacts. The Bamwan office enters this.
  • Visits and hours: when each visit was booked, who went, the tasks done, the Care Pro’s visit note, and the start and end times from Bamwan’s clock. Families and facilities confirm hours or report a problem.
  • Location (Care Pros only): the phone’s location is read once when a Care Pro starts a visit and once when they end it, to check they were at the address. The app never tracks location in the background. When the office saves a client’s address, the phone’s map service (Apple Maps) finds it on the map.
  • Documents (Care Pros only): photos and numbers of the documents Bamwan must check before scheduling, such as photo ID, certificates, a police check and CPR. They are kept in private storage that only the Bamwan office can open.
  • Requests, reports and notifications: requests for care, incident and emergency reports, and the in-app notifications sent to you.
  • On your phone only: your text size and display choices, and a copy of your own schedule so the app opens quickly.

We do not use advertising, analytics or tracking tools, we do not sell your information, and we do not use it for marketing.

How we use it

To arrange and deliver care: scheduling visits, checking that visits happened, confirming hours, paying our staff, handling requests and safety reports, checking staff documents, and meeting our legal duties.

Who can see what

  • The Bamwan office sees everything in the app, to run the schedule.
  • Care Pros see their own visits, and the address and care notes of the people they visit. Extra visits on offer show only the neighbourhood until a Care Pro takes them.
  • Families and facilities see visits and hours for their own family member or facility only. They never see a Care Pro’s phone number, email, address, documents or pay.

Service providers

We use a small number of providers who process data only to run the app, under agreements that require them to protect it as this policy does:

  • Supabase: our database, sign-in, private document storage, and the app’s emails (confirming your email and resetting your password). The database and documents are hosted in Canada (Montréal).
  • Apple: delivers the app and provides the phone’s location and map services.

We share information with others only when the law requires it, or to protect someone’s safety in an emergency.

How long we keep it

We keep your information while you use the app. Visit, hours and payroll records, care records and incident reports are kept for as long as Ontario and Canadian law requires (for example, payroll records for at least six years), then deleted.

Delete your account, or change your information

  • In the app: go to Account (families), Me (Care Pros) or More (facilities and office) and tap Delete my account. Your sign-in, email, phone number and notifications are deleted straight away. Records we must keep by law keep your name.
  • Location: you can turn off Location for Bamwan at any time in your phone’s Settings. You then can’t start a visit from the app; call the office instead.
  • Anything else: to see, correct or delete your information, or to withdraw your consent, email [email protected] or call (416) 831-7506. We answer within 30 days.

How we protect it

Information is encrypted when it travels between your phone and our servers. Each person’s phone only receives what they are allowed to see. Staff documents are kept private and opened through links that expire after 10 minutes.

Children

App accounts are for adults. We may hold information about the people we care for, who are often older adults, as part of their care.

Changes and questions

If we change this policy, we will update the date above and tell you in the app. Questions or concerns: [email protected], (416) 831-7506. You may also contact the Office of the Privacy Commissioner of Canada or the Information and Privacy Commissioner of Ontario.
